Fundraising and Events Coordinator
We want someone who is well organised, with a professional approach, the ability to collaborate and communicate with others and who is reflective about their own performance and interactions with others.
The Opportunity
This is an exciting opportunity to support the development team, leading on all the administration and organisation of upcoming external events. This role will suit someone who is looking to start their career in fundraising and has some events experience.
The Team
This role will sit within the Development team within the External Relations Directorate, which is responsible for the message and reputation of Frontline, and inspiring support for the charity. The team leads on fundraising, events, press, public affairs, online content, and branding. A committed and growing team, we work creatively with internal and external support to bring the Frontline message to life. Fundraising & Events Coordinator: Job Description
- Reports to: Partnerships Manager
- Start date: ASAP

- Contract: Permanent
- Hours: Full time (37.5 hours)
- Salary: £23,000 per annum

We are looking for someone who is able to be proactive and contribute to the work of the Development team by providing support in fundraising and events. You will lead on all administration and organisation of Frontline external events, directed by the Fundraising & Events Officer. To date this has included ‘TED style’ leadership seminars, Frontline programme opening, graduation ceremonies, and stakeholder engagement events. You will also be responsible for supporting with fundraising administration and research of new prospective funders, to grow our funding pipeline and income, as well as providing some general office management support. This role requires someone who is enthusiastic about working in events and fundraising.
Summary of responsibilities
Leading on the organisation and administration of Frontline external events
- Support the Fundraising & Events Officer with developing our existing programme of events throughout the year as well as the broader event planning;
- Directed by the Fundraising & Events Officer, lead on venue sourcing and management, catering, and resource management for Frontline external-facing events;
- Research speakers and topics for leadership seminars and other external events;
- Collaborate with teams across the organisation to build event invitation lists. Coordinate and manage the invitations and responses from invitees, working with the Fundraising & Events Officer to design a communications plan;
- Book travel and accommodation for Frontline employees, speakers and facilitators for events;
- Produce the running order and briefing documents for events;
- Coordinate and brief relevant Frontline employees before events;
- Lead on on-the-day logistics at events, including volunteer management and compliance with health and safety procedures;
- Carry out post-event evaluations and report back to the Development team;
- Manage the events folders in the shared drive, ensuring these are organised in a logical and coherent manner;
- Take responsibility for ensuring that invitations to events and attendance of contacts are recorded in our CRM system, Salesforce;
- Be proactive in suggesting improvements on systems and working approach if it would make the team more effective or efficient.
Provide administrative fundraising support
- Take responsibility for managing the administration of the fundraising function, including keeping Salesforce accounts up-to-date, requesting payments and thanking donors;
- Support the Partnerships Manager by attending internal fundraising planning meetings and recording actions and sharing this across the team;
- Manage the fundraising files on the shared drive, ensuring these are organised in a logical and coherent manner;
- Research and reporting on new prospective funding partners, and record this on Salesforce;
- Organise travel and logistics for external fundraising meetings, such as booking meeting rooms, room set-up and ordering lunch;
- Support the writing of grant reports and applications, proactively collaborating with teams to collect relevant and interesting information to report to funders or potential funders;
- Display an enthusiasm to learn about fundraising and contribute ideas to how we can continue to grow our funding pipeline;
- Be proactive in suggesting improvements on systems and working approach if it would make the team more effective or efficient.
Provide wider support for the Development team
- Provide support across all fundraising and events projects and proactively contribute creative ideas;
- Over time, be able to effectively lead on distinct projects and areas of activity;
- Lead on the organisation of team away days and planning days;
- Support the team with inductions for new starters.

Experience and Knowledge
- Experience of working in events (essential);
- Experience of working in a sales role or fundraising (desirable);
- Experience of working in a fast paced and busy office environment and providing outstanding administrative support (essential);
- Strong interest in and enthusiasm to develop skills in fundraising;
- Strong IT skills – Essential: Intermediate competencies in Word, PowerPoint, Excel, Outlook and CRM (ideally Salesforce).
