Finance and Administrative Assistant
Overall conditions
- Part-time; 20 hours per week
- Start as soon as possible
- Employment term is 1 year with possibility of renewing as an open-ended contract
- Salary is negotiable based on level of experience
- Reports to: Finance and Operations Manager
Main purpose of the position:
The Finance and Administrative Assistant supports ICPA management to ensure effectiveness of the day-to-day administration of ICPA and the organization’s finances.
Main duties
- Financial – bookkeeping responsibilities and support for management and project accounting
- Operations & (Office) Administration – support to ensure the smooth running of ICPA’s office and events
Detailed tasks
Finance function:
- Bookkeeping tasks including coding and entering invoices and transactions into software and maintaining financial filing system (org and projects)
- processing and accounting for different types of payments
- Preparing monthly bank reconciliation and cost center reports
- Assist Finance Manager in preparation of internal and external financial reports and supporting financial information as required
Operations & (Office) Administration function:
- Support the smooth running of ICPA’s office and provide general administrative support as required
- Making travel bookings (flight and hotel) and processing travel related expenses for staff and trainers/consultants
- Providing logistics and coordination support for ICPA events in Berlin and events organised with international partners
- receptionist function for office guests and meetings
- Assist in maintaining the ICPA calendar and schedule
Skills required and profile of ideal candidate
- Completed commercial training (Abgeschlossene kaufmännische Ausbildung)
- Ability to work in both English and German
- Minimum of 3 years experience with professional bookkeeping software such as DATEV, Lexware or Sage
- Accuracy and independence
- Good oral and written communication skills
- Computer literacy – proficient MS Office skills
- Ability to work in a small team as well as independently
- Appreciate and support the mission and values of ICPA
