Who we are looking for
We are looking for a
Team Executive Assistant
to work on a part-time basis in our Berlin office, 2-3 days per week.
The successful applicant will have the following skills and experience:
- Excellent written and spoken German and English (candidates not fulfilling this requirement will not be considered)
- Experience working as an Administrator and supporting a busy team
- Bookkeeping experience and the ability to collate financial information
- A good command of Office Suite tools along with knowledge of SharePoint and Planner
- Excellent organisational and administrative skills
- Ability to prioritise tasks and meet deadlines
- Excellent interpersonal skills and able to liaise effectively at all levels
Key tasks
- Providing full administrative support to the team
- Reconciling expense claims and collating costs and expenses for projects
- Monitoring expenditure and costs against budgets
- Collating supplier invoices
- Liaising with the Operations Manager to communicate project updates, invoicing schedules and cashflow
- Making travel arrangements for team members as required
- Arranging internal and external meetings, taking minutes and noting action points
- Managing stationary supplies
- Maintaining appropriate processes and document storage practices
- Issuing letters to employees, monitoring absences and leave requests
- Ad hoc research and information gathering requests
- Assisting the team to produce PowerPoint presentations
