The Open Society Foundations Eurasia Program seeks a part-time (20 hours per week) program administrative assistant on a fixed-term contract until 31 December 2019,with the possibility of permanent employment thereafter. The position is part of a global team, reports to the operations manager and is based in Berlin.
Typical duties and responsibilities include the following:
- Provides reliable administrative support to Berlin staff, including scheduling, travel logistics, notetaking, and expense reports;
- Works collaboratively with the program operations team across time zones;
- Handles intake and appropriate routing of calls/emails and public inquiries;
- Handles logistics needs for meetings in Berlin, both at the office and at outside venues; may assist the operations team in program convening, board meeting and retreat logistics planning;
- Assists the operations manager and Berlin staff with budget tracking and budget variance monitoring;
- Working with the Legal and Finance departments, assists with processing contracts and payments;
- Working with the operations team and grants officer, assists staff with grant process questions, helps troubleshoot grants system issues, and assists with correspondence to grantees on overdue reports and other grants administration questions;
- Stays abreast of OSF and OSF-Berlin policies and processes, seeks additional information as necessary, and communicates information as needed;
- Assists with team projects and other administrative tasks as needed.
Candidate Profile:
- One to three years of administrative experience at a large and complex (ideally international) organization;
- Demonstrable ability to quickly learn and maintain processes, systems, and workflows, and ensure appropriate adherence and follow-up;
- Proven flexibility to adapt to changes in procedures and task assignments;
- Experience with multi-tasking, prioritizing, and working independently, with the ability to recognize when to ask questions and seek guidance in order to complete tasks correctly, fully and on time;
- Highly organized, detail oriented, and resourceful, excelling at independent problem-solving;
- Ability to build and maintain relationships with a wide range of people from diverse backgrounds within a complex organization;
- Excellent interpersonal skills with sensitivity to cultural communication differences and demonstrated expertise in handling all information in a confidential manner;
- Excellent written communications skills and email etiquette;
- Proficiency using Microsoft Word and Excel, including reviewing and updating budget spreadsheets;
- Experience working with grant and contracting databases (especially the Salesforce platform) is a strong asset;
- Working knowledge of the English language; knowledge of the German and Russian language is desirable.
