The Asia Berlin Forum e.V. (ABF) is a Berlin based non-profit platform promoting business and cultural exchange with the Asia-Pacific region. The ABF is a cooperation partner of the Berlin Senate Department for Economics, Energy and Public Enterprises, and holds the office of the annual AsiaBerlin Summit (ABS), one of the largest series of events related to Asia-Pacific in Germany. As part of the AsiaBerlin Summit the ABF has founded and organized the Embassy Day since 2013 and coordinates the satellite events and cultural program. Moreover, the ABF hosts panel discussions on current issues around politics and business and supports culture events.
Key Accountabilities
The Managing Director leads a small and committed cross-cultural team, is responsible for finances and administration, contributes to the organization of the annual AsiaBerlin Summit, and is responsible for ABF’s series of regular events and community building. Tasks include:
- Overseeing the annual budget: planning, controlling, accounting, reporting
(incl. salary statements, tax returns, financial membership management)
under non-profit conditions
- Grant applications and grant reporting
- Cooperation and coordination with ABS stakeholders
- ABS sponsor management, contributing to acquisition of new sponsors
- Management of competitive tendering procedures, assignments to service providers
- Preparation and reporting for ABF board meetings and general assembly
- Board management, being the contact for the Board
- Leadership of ABF team, overseeing tasks and responsibilities and providing support
- Coordination of AsiaBerlin Summit partner events (Embassy Day, satellite events, culture program)
- Partnership management, identification and development of new partnerships
- Conception and coordination of regular events related to startup ecosystems in Berlin and Asia, geopolitics, culture
- Community building and moderation of new ABF online forum
- Membership management and acquisition of new members
- Invitation and guest management
- Coordination of ABF website and social media channels
- Ensuring the visibility of ABF and representing ABF externally
Requirements
- Academic degree (MA level) in a subject related to ABF’s work (Asia regional studies, political science, business studies etc.)
- German at native speaker level, knowledge of English at C1-C2 level according to CEFR.
- Knowledge of Asian languages is considered an asset
- Experience with and good understanding of German institutional donors and grant applications
- Experience with writing narrative and financial reports, excellent attention to detail
- Experience with non-profit management
- Good financial management and budgeting skills
- Good understanding of international relations between Asia and Europe, opportunities and challenges for startups active across continents
- Confirmed organizational skills, accuracy, ability to prioritize tasks, keep deadlines, and to learn quickly
- Willingness to work a variable schedule, including evenings when needed
- Ability to work on own initiative and at the same time collaboratively as part of a diverse team
- Strong interpersonal, communication, and negotiation skills
- Good IT skills (MS Office)

Candidates should be EU nationals or have a valid work permit for Germany.
The employment contract will initially be limited to March 31, 2023 with the aim of contract extension.
The position is full-time (40 h/week), but can be split into two part-time positions (each 50 %).
The salary complies with TV-L E13.
