Executive Assistant (Paternity Cover)
- Location: Berlin Office
- Level: Coordinator level
- Fixed Term Contract: Six month paternity leave cover with possibility for extension, and a three month probation period. Between 30,000 and 33,000 Eur per annum, depending upon experience.

About you
If you are someone, who enjoys working on very different priorities, from logistics and calendar management to cross project production support and research assistance, then we would love to hear from you. Ideally you will have at least three years professional experience working as an Executive Assistant or Board Support in a non-profit or tech environment. You will be a highly organised person with great all-rounder qualities, interested in being at the heart of the inside workings of a medium sized organisation. You will also have experience in online production, basic research and writing and pay exceptional attention to detail. You should be comfortable with multiple deadlines, iterative processes and a fast-paced environment.
About the role
This is an exciting opportunity to join Tactical Tech’s Organisational Team and support the Executive and Deputy Director across a wide range of administrative, organisational, project and production tasks. The Executive Assistant role is composed of organisational assistance and project support for the Executive Director. Your day will be a mix between supporting the day-to-day organisational and logistical management of the Executive Director’s tasks as well as providing assistance to her on priority projects within and outside of Tactical Tech . In this role no day is the same and you will be able to gain insight into a variety of projects and disciplines related to management and production.
In this role, you will work directly with the Executive Director and the Deputy Director as part of Tactical Tech’s Organisational Team. You will report to the Executive Director.
This is a mid-level position. Graduates with at least three years' experience are encouraged to apply. The salary is based upon our internal salary scales, and is competitive for a Berlin-based non profit. The position may require some international travel. This is a six-month position as a paternity cover, with a three month probation period. Depending upon performance and available funding, there may be a possibility to extend this position beyond the six months.
Key responsibilities
In the Executive Assistance role you will work closely with the Executive Director and the Organisational Team. Your key organisational and logistical responsibilities will be to:
- support the Executive Director in projects, partner, press, and client liaison;
- support the Executive Director's small-scale projects and consultancy contracts;
- support the Executive Director in her workflow and in helping to prioritise internal and external requests;
- support the Executive Director with the preparation of events, talks, interviews, appointments, including liaison with partners and collaborators and the organisation of travel and related expenses;
- manage the Executive Director’s calendar;
- prepare, proofread and edit documents and external communications produced by the Executive Team;
- provide support to the Executive and Deputy Director in preparation of reports, proposals, board meetings and other compliance and governance related documents;
- support organisational level impact evaluation, tracking of reach, performance, profile building and realising targets;
- handle sensitive information requiring a high degree of discretion and absolute confidentiality;
- and undertake any other tasks as needed.
Your key project support responsibilities will be to:
- support the Executive Director on projects within Tactical Tech, providing synthesis and analysis of reports and news items as well as research support;
- collect, compile and format research into appropriate formats;
- provide support across projects in producing and editing digital assets and content (images, audio, video) for integration into our web presences;
- support projects in digital content editing, from uploading to reach analysis.
Essential skills and experience:
- 3+ years of experience working in a similar position;
- fluent written and spoken English and strong communication and listening skills;
- excellent organising and documentation skills, with great attention to detail;
- experience in supporting online production such as use of content management systems;
- good fact-checking and analytical skills;
- ability to rapidly switch focus between topics and tasks as and when needed
- strong planning and problem solving ability;
- critical thinking skills, including the ability to absorb large amounts of information before quickly forming and testing ideas;
- experience working with people from a range of backgrounds and seniority;
- comfortable with iterative processes;
- hands-on and can-do approach;
- ability to work independently and in teams;
- good technical knowledge and skills and excellent skills in using office software;
- demonstrable commitment to Tactical Tech's mission and values including an understanding of the geopolitical contexts in which Tactical Tech's work is carried out and sensitivity to political situations and different views of the world;
- graduate with advanced degree in the humanities, or related area.
- You should have the right to live and work in Europe.
Desirable experience
- experience working on non-profit tech issues at an international level;
- familiarity with open source and/or community built software or desire to learn and gain proficiency with non-proprietary technologies
- experience working in a comparable organisation, preferably in a medium sized international NGO;
- project and grant management experience;
- fluency in German and other languages.
